RainKing-Hubspot Webhook Set Up Guide

RainKing’s Hubspot webhook allows you to automatically append data from RainKing to records in your Hubspot. This guide will walk you through the process of setting up RainKing’s Hubspot webhook. RainKing’s Hubspot Webhook allows you to keep records up to date without the need for regular manual uploads to your Hubspot marketing system. This helps to prevent data from going stale in your system, by keeping it up to date with reliable RainKing information.

Steps to Setup:

Make sure your RainKing account is permissioned to connect to Hubspot. You can confirm this in RainKing by selecting “Connectors” from the drop-down under your username in the top-right corner then you should see the Hubspot icon:

If you do not see the Hubspot icon, contact your RainKing Account Manager.  

Click on the Hubspot icon and you’ll be prompted to enter your Hubspot ID:

Your Hubspot ID is found in the top-right corner of your Hubspot account:

Copy your Hubspot ID, add it to RainKing, and click “Authenticate”:

Hubspot will ask you to Authorize the connection between Salesforce and RainKing:

Once Authorized, you’ll see that your Account is now linked. You’ll have a “Mapping” tab and you’ll have a Webhook URL for Hubspot:

Click on the “Mapping” tab to set the fields to be mapped between RainKing and Hubspot:

RainKing will automatically map some common fields. Review each field that can be mapped and use the drop-down under the Hubspot fields to select the field in Hubspot to map RainKing data to:

For each field mapped, use the radio buttons at each row to choose the field update logic: “Never”, “Always” or “If Blank”:

Once all fields and their update logic are set, click “Save Mapping” at the bottom of the screen:

With that saved go over to Hubspot and create a new Workflow that scoops a Webhook.  Workflows are found in Hubspot Marketing under Contacts >> Workflows:

Name your workflow, choose the Standard workflow, and select “Create Workflow”:

Select “Set Enrollment Criteria” and choose the enrollment criteria that your contacts must meet to be updated with RainKing information:

Save your criteria and select “Add an Action”:

Choose “Trigger a Webhook” as the action:

Set the method to POST and paste the URL that was generated in RainKing.

Save the Workflow and set it to ON:

To test that the Webhook returns data as expected, in Hubspot on the Contact Tab select to “Add contact”:

Copy a net new email address from RainKing and add it to Hubspot as a new Contact:

Select the newly created Contact then select to “Enroll in Workflow”:

Select the newly created RainKing Webhook Workflow and select to “Enroll”:

Once Enrolled, the RainKing webhook will fire and pull back all mapped data from RainKing into your Hubspot for this record:

This RainKing Webhook can now be used on form fill-outs or in other marketing programs to automatically append data to contact records in your Hubspot.
